Retail Real Estate Leasing Coordinator

Position Description:

  • Coordinate and implement the marketing efforts and reports for all leasing and sales projects
  • Complete listing brochures for lease offerings and investment memorandums for sale offerings
  • Assist in managing the CRM software which tracks properties, owners, investors, brokers, tenants, vendors, sale comps and lease comps
  • Respond to prospective inquiries by phone or in person for perspective tenants on listing assignments
  • Conduct tours for the listing assignments for perspective tenants
  • Maintain and provide clients with activity/status reports


  • Bachelor’s degree or higher
  • Massachusetts Real Estate Salesperson License or willingness to become licensed
  • Strong verbal and written communications skills; polished interpersonal skills
  • Adept at multi-tasking, organizing and attention to detail
  • Dependable, positive and able to work both independently and with team members
  • Ability to create, compose, and edit written materials with excellent computer skills
  • Demonstrated knowledge and interest in retail and restaurants

Administrative Assistant for Active Real Estate Office

Sizable Residential/Commercial Real Estate office, located in Back Bay, seeks motivated and long term administrative assistant.

Duties include but are not limited to:

Placing orders for office supplies

Answering the phone and greeting clients at reception

  • Providing general office support (photocopying, faxing, arranging courier services and other administrative tasks as required)
  • Maintaining and updating various databases in Excel and Apto
  • Assisting with Recruiting and scheduling of interviews
  • Orchestrating mass mail-outs via mail merges
  • Managing Outlook calendars for directors
  • Coordinating with marketing department to print up marketing materials.
  • Managing online email campaign via Pardot and Icontact
  • Maintaining digital database in VTS a real estate program
  • Updating listings on CoStar/MLS/Craigslist etc
  • Managing LinkedIn campaigns
  • Coordinating hosting of company social events

The ideal candidate:

  • Is familiar with Salesforce or Apto
  • Works well in a fast-paced environment
  • Can prioritize, respect deadlines and be punctual
  • Has excellent written and verbal communication skills paired with an eye for grammar and spelling
  • Is computer literate and proficient in Microsoft Word, Excel and Powerpoint
  • Is familiar with real estate listing services such as MLS, VTS, and Costar
