Controller/Full Charge Bookkeeper – Boston, MA

Job Summary:

The Controller/Full Charge Bookkeeper will be responsible for overseeing and executing all financial activities of the company, including accounting, financial reporting, budgeting, and compliance. This role requires a detail-oriented professional with extensive experience in bookkeeping and financial management, capable of handling all aspects of the company’s financial operations independently.

Key Responsibilities:

  • Financial Management:
    • Oversee and manage all general accounting functions, including accounts payable, accounts receivable, payroll, and general ledger.
    • Ensure timely and accurate monthly, quarterly, and annual financial reporting.
    • Maintain bank accounts by moving funds and initiating wires when needed.
    • Manage ad hoc financial requests.
    • Prepare and distribute weekly reports on new activity and company health.
    • Create Accounts Payable (AP) report and prepare vendor and commission payments.
    • Process Payroll and employee draws.
    • Handle DUA and IRS correspondence and monthly/quarterly filings.
    • Process and record payment of debt obligations.
    • Make monthly journal entries.
    • Track accounts receivable and collaborate with team members to ensure collections.
    • Compile monthly company summaries.
    • Manage prepaid expense and fixed asset worksheets and entries.
    • Review unallocated classes and adjust as necessary.
    • Prepare rent and overhead allocation worksheets and entries.
    • Perform bank reconciliations.
    • Complete monthly financial closings.
  • Managing Accounts Payable and Commission Tracking:
    • Manage the accounts payable process, including reviewing and approving invoices for payment.
    • Ensure timely and accurate payment of all payables.
    • Track and manage commissions for company brokers, ensuring accurate calculation and timely disbursement.
    • Maintain detailed records of commission payments and reconcile discrepancies promptly.
  • Budgeting and Forecasting:
    •  Develop and manage the annual budget in collaboration with the CEO.
    • Monitor and analyze budget variances and provide regular financial forecasts.
  • Cash Flow Management:
    • Monitor cash flow and manage cash position to ensure adequate liquidity.
    • Prepare cash flow projections and manage working capital.
  • Compliance and Insurance:
    • Track brokerage licensure and maintain required records.
    • Maintain insurance records and manage annual renewals.
  • Process Improvement:
    • Identify and implement process improvements to enhance efficiency and accuracy in financial operations.
    • Develop and maintain internal controls to safeguard company assets
  • Human Resources:
    • Maintain employee records and ensure compliance with state regulations
    • Coordinate onboarding of new employees, including payroll setup and IT needs

Qualifications:

  • Bachelor’s degree or training in Accounting, Finance, or a related field;
  • Minimum of 8 years of experience in accounting or finance.  Willing to train qualified candidates with appropriate experience and education
  • Basic knowledge of GAAP and understanding of accounting.
  • Proficiency in Quickbooks and Microsoft Office applications.
  • Strong attention to organization, detail, and accuracy.
  • Effective communication and interpersonal skills.
  • Ability to work independently and manage a diverse set of responsibilities.
